Must-Have Tools That Helped Me Start and Grow My Business (Without Overwhelm)


Let’s face it — tools can make or break your business.

Whether you're just starting out or finally scaling up, the systems and software you use can either keep things flowing like a well-oiled machine… or create absolute chaos that leaves you (and your team) burned out and overwhelmed.

And if you’ve ever Googled “best tools for entrepreneurs,” you know how fast you can get buried in tabs, comparison charts, and YouTube reviews. It’s a rabbit hole and not the fun kind.

I know because I’ve been there!

So in this post, I’m listing the actual tools I’ve personally used and loved since day one. These are beginner-friendly, budget-conscious, and powerful enough to grow with you. I’ll also share who they’re best for, key features, and why they worked so well for me. When you’re juggling multiple tasks, clients, or creative projects, it’s easy to feel overwhelmed or worse, forget important deadlines. That’s where project management and productivity tools come in.

A project management tool can help you stay organized, avoid missed deadlines, and manage both client work and personal goals without feeling overwhelmed, whether you’re working solo or collaborating with a team.

Having a clear system in place doesn’t just reduce stress, it helps you work smarter, not harder. You can break big projects into smaller, manageable steps, assign due dates, and even automate repetitive tasks. It’s all about keeping things moving forward without burning out or dropping the ball.

Here are some user-friendly tools I’ve used (either in my own business or through working with clients).

They’re all beginner-friendly, have solid free versions, and can grow with you as your business expands.

1. Trello – My Personal Favorite

Trello is a simple, visual tool that uses boards, lists, and cards to help you manage projects like a digital bulletin board. It’s perfect if you like drag-and-drop simplicity and want an overview of everything at a glance.

  • Great for tracking to-dos, content calendars, client projects, or workflows
  • Add checklists, due dates, attachments, labels, and even automation (called “Butler”)

Beginners, creatives, solopreneurs, and small teams who want something simple and visual.

2. Asana – Structured and Streamlined

Asana is a bit more structured than Trello and great for managing multi-step projects and keeping track of who’s doing what — especially if you work with a team.

  • Assign tasks to team members with due dates and priority levels
  • Track project progress and dependencies
  • Automations and integrations with other tools like Slack, Google Drive, etc.
  • Clean, intuitive interface

Best For:

Service providers, virtual teams, or anyone who likes having more structure and visibility across multiple projects.

3. ClickUp – All-in-One Powerhouse

ClickUp is a robust, customizable platform that combines task management, docs, goal-setting, and time tracking all in one place. It can feel overwhelming at first, but once you’re familiar, it’s a powerful tool for productivity.

  • Highly customizable dashboards and task views (list, board, calendar, Gantt)
  • Built-in docs and note-taking
  • Goal tracking and time tracking
  • Automations, integrations, and recurring tasks

Agencies, growing teams, or tech-savvy solopreneurs looking to centralize operations.

A Note From Me:

I personally use Trello to keep my own business organized, but I’ve also worked with clients who use Asana, ClickUp, and even Notion and they’re all solid tools depending on what works best for your brain and workflow. Most of them have free versions that are more than enough to get you started, and you can always upgrade later if you need more advanced features.

Email Marketing Tools

If you’re serious about growing your business, don’t skip email marketing. Social media is great for visibility, but email is where real relationships and sales are built. Unlike algorithms, your email list is something you actually own and it lets you speak directly to your audience without distractions.

Whether you’re sending updates, promoting your products, or just staying in touch with your community, having the right email marketing tool makes a huge difference. Especially as a solopreneur, you want something easy to use, affordable (or free!), and reliable.

Here are the tools I’ve used and recommend — all beginner-friendly with generous free versions.

1. Brevo (formerly Sendinblue) – Great for Bootstrapped Startups

I started out with Brevo because, honestly, I needed something that didn’t require a professional email address and still offered automation — even on the free plan. That’s a big deal when you’re just starting out and trying to stretch every dollar.

  • Send newsletters and outreach emails without needing a custom domain
  • Clean drag-and-drop email builder
  • SMS marketing and live chat options included

Solopreneurs and startups who want automation without upfront costs and need to get started quickly.

2. Systeme.io – More Than Just Email

Systeme.io is an all-in-one platform that does more than email marketing. It also includes tools for building funnels, landing pages, online courses, and automations which makes it a great choice if you want to simplify your tech stack.

I’ve used Systeme.io in my own business and also with clients. It’s very intuitive once you get the hang of it, and it really helped me when I wanted to create landing pages or build a basic funnel without juggling five different tools.

It also lets you build beautiful landing pages and forms (even on the free plan), which is so helpful if you’re collecting leads or offering freebies.

I’ve tried each of these tools at different points in my business journey, depending on my needs and budget. Brevo helped me get started. Systeme.io gave me room to explore funnels and courses. And ConvertKit made me feel like I finally found “home” for my email list.

Payment Solutions

Getting paid is one of the most important parts of running any business and when you're starting out, it’s crucial to choose tools that are simple, trustworthy, and widely accepted. As a freelancer and solopreneur, I needed payment options that were not only easy to use but also accessible for both me and my clients around the world.

Here are the two tools I’ve relied on the most:

1. Wise (formerly TransferWise) – My Go-To for International Transfers

Wise is a game-changer if you work with clients in different countries. It offers lower fees and better exchange rates, so you keep more of what you earn. I love using it when I need to transfer money between currencies or receive payments from abroad.

When I was just starting out, I needed tools that wouldn't drain my budget but would still let me look professional and be accessible to clients around the world. I used PayPal first because it’s easy and widely recognized — most clients already had it, and I could create invoices and accept card payments with no hassle.

As my work expanded internationally, I discovered Wise, which helped me save on conversion fees while offering faster transfers. Now I use both, depending on the client and the situation. They’ve helped me stay on top of my finances without needing complicated setups, and I highly recommend them for freelancers and service-based business owners who are just getting started or working across borders.

E-commerce Tools – Selling Made Simpler

Running a creative business today means more than just making things — it’s also about making them accessible to your audience. Whether you're selling physical products, digital downloads, or print-on-demand art, using the right e-commerce platforms can make all the difference. These tools help you build an online presence, reach your audience, and handle orders with ease — even if you’re just starting out.

I’ve used the platforms below while helping clients set up their shops, and I now personally use TeePublic and Ko-fi for my own creative brand. Their navigation is intuitive, setup is beginner-friendly, and they can scale with you as your business grows.

1. Ecwid

Ecwid is a flexible e-commerce tool that lets you turn your existing website, blog, or social media into a functioning online store without needing to start from scratch.

My Take:

I’ve explored and used these platforms while supporting clients and now, for my own creative business. I personally use TeePublic because of its sustainability promise, which is important to me as a sustainability advocate. And I love Ko-fi for how it lets me connect directly with my audience, offer products, and grow a community without having to worry about social media visibility.

Each of these platforms is user-friendly, adaptable, and offers low-cost entry points, making them excellent options whether you’re just starting or scaling your creative business.

The truth is, you don’t need all the tools — you just need the right ones for you.

Start with what makes sense for your current stage. Build a solid foundation. Then add tools as your business (and your confidence) grows.
